Every rental shop loses gear eventually. The question is whether you notice, whether you can prove what happened, and whether you recover the cost. Here is how to protect your equipment without making renting a pain for your customers.
Track every component, not just the camera
Most losses are not stolen cameras. They are missing batteries, chargers, lens caps and cables, a few hundred pesos at a time. List every component in each kit, give each one a replacement value, and check them out and back in on every rental.
Record condition at pickup
Damage disputes come down to one question: was it like that before? Inspect the gear with the renter at pickup, note existing scratches and faults, and take photos. When something comes back damaged, you have a record to point to.
Verify renters and keep their history
Ask for valid ID before a first rental, and keep a history of every renter: on-time returns, late returns, damage and missing parts. Use that history to decide deposits and who can rent your most expensive gear. Be fair: one late return is not the same as a pattern.
Take a proper deposit
A deposit sized to the gear's replacement cost gives renters a reason to take care of it. Keep deposits separate from your income, and when you deduct, write down exactly what for. Clear deductions are much easier to defend than a round number.
Label your gear
Asset tags or QR labels on each item and component make check-in faster and make it obvious which piece belongs to which kit. They also help when two renters return identical batteries on the same day.
Schedule maintenance
Clean sensors, update firmware, test batteries and check drone propellers between rentals. Take gear out of rotation when it needs repair, so it is not booked while it is on the bench. Well-kept gear fails less, and renters notice.
