Why GearUp is the best platform for camera and drone rental shops in the Philippines

6 min read

If you run a camera, drone or audio rental shop, you already know where the money leaks out: a battery that never came back, a double booking you found out about at pickup, a deposit dispute you could not prove, and hours spent on spreadsheets and chat threads. GearUp was built around those problems. Here is what it does for your shop.

Know where every component is

GearUp tracks your gear down to the individual component: the drone, its batteries, propellers, charger, controller and cables. Each component can carry its own replacement value.

At checkout, the components you hand over are snapshotted with the rental. At return, you check them back in against that same list. If a part is missing, its replacement value is already on record, so the charge is clear and hard to argue with.

Deposits handled properly

Security deposits are tracked separately from your rental income, so you always know how much of the money in hand is actually yours.

On return, GearUp works out the settlement for you: late fees after your grace period, missing parts and assessed damage. Each charge is deducted from the deposit with its own reason and ledger entry, and you can refund the rest now or later. When a renter asks why they were charged, the answer is already written down.

No more double bookings

Availability comes from real bookings, holds and maintenance windows, not from a status you have to remember to update. The database itself refuses to book the same item, or the same component, for overlapping times.

Renters see a live calendar on your booking page with free, partly booked and fully booked days, so they ask for dates that actually work.

Pricing that matches how you rent

Set hourly, daily and weekly rates with minimum durations, plus late fees and grace periods. Bundle gear into packages, like a complete drone kit, with their own discounted rates.

Quotes are calculated on the server from your rate card and saved with each rental, so the price a renter agreed to never drifts, and staff cannot accidentally undercharge.

Checkout and return in a few taps

Print QR labels for every gear item and component. Scanning a label with a phone camera opens that item's page with its current and next rental, ready for check-out, check-in or inspection.

Checkout follows a checklist and records an inspection with condition notes and photos, so the state of the gear when it left your shop is documented.

Know your renters

Every renter has a history: past rentals, late returns, damage and deposit deductions. Renters can upload ID for verification, and you approve or reject it from your dashboard.

Internal notes stay private to your business and are never shown to the renter. You decide how to treat each renter, and every change to a renter's risk status is recorded with who made it and why.

Get paid the way Filipinos pay

Record cash and bank transfers with no setup. Turn on online payments to send PayMongo payment links for GCash, Maya, QR Ph and cards, and issue refunds back to the original payment.

Online payments only count as paid once PayMongo confirms them, and every payment, deposit and refund lands in an append-only ledger that cannot be edited after the fact.

Get found by renters

Your shop gets a public page on the GearUp marketplace, where renters search cameras, drones, audio and kits by category and location, sort by rating, and find shops near them on the map.

Renters can send booking requests online with the price calculated up front. You approve each request before checkout, so you stay in control of who takes your gear. Renters get upfront prices and protected deposits, which makes them more willing to book with a shop they have not used before.

You only pay when you earn

New shops start with a free trial. After that, GearUp charges a small commission on completed rentals, based only on what your shop actually kept. Security deposits are never commissioned, and if you refund a rental fee later, the commission is adjusted.
